The Challenge
DC Technics (De Craene Technics) is a company from Wortegem-Petegem that specializes in smart energy solutions. The company has been installing solar panels, home battery systems, and charging stations for electric vehicles for over 16 years.
DC Technics sends out several technicians with their vans daily. "Our technicians receive a mobility allowance that varies depending on whether they are the driver or the passenger," says Mieke Camerlinckx, the administrative contact at the firm. Calculating the correct mobility allowance is a monthly administrative challenge.
At DC-Technics, driving is courteous, but a lapse in attention can quickly occur. The technicians are personally responsible for speeding fines. "However, we don't always know who was driving at the time, which makes it difficult to assign the fines to the right person," adds Mieke.
The technicians' workday usually begins upon arrival at the first site and ends at the last site, but sometimes earlier or later if they load the vans in the morning or unload them in the evening. "The technicians report their working hours to us. Unfortunately, in the past we noticed that an employee reported more hours than were actually worked," Mieke explains.
The Solution
In early 2023, DC Technics opted for the ProDongle BlackBox with identification and work hour registration via iButtons.
With the black iButtons, employees register the driver at the start of each trip and then the passenger. "This way, we know who the driver and passenger are during the trip, we know the driven kilometers, and we can determine the correct mobility allowance," clarifies Mieke.
Now that DC Technics always knows who was driving at the time of a speeding violation, the fine can easily be assigned to the person who was the driver at that moment.
The red iButtons are used to register the start and end of working hours. The technicians badge with the red iButton upon arrival at the first site and at departure on the last site. "This allows us to always precisely check how many hours our technicians have worked. The registration is clear for everyone and prevents anomalies," says the administrative responsible.
The ProDongle Trip Registration allows DC Technics to verify how long the technicians were present at the site. “If there are questions from customers about the billed hours, we can show the worked hours with objective evidence and avoid unnecessary discussions,” Mieke adds.
With ProDongle track & trace, DC Technics can with a single click see where the technicians are located on the map. “In the past, we used to call them to ask where they are to possibly plan an additional assignment, but that is no longer necessary,” says Mieke.
“Thanks to ProDongle, we see a great improvement in terms of our personnel administration,” concludes Mieke. There are no more misunderstandings about hours worked, the mobility allowance is easy to determine, and traffic fines are assigned to the responsible technician.
